Managing Maintenance
Requests

Review incoming requests, set priorities, assign vendors, track progress, and resolve issues — all from the maintenance dashboard.

Handle a Maintenance Request

From new request to completed repair.

Review New Requests

New requests appear in Maintenance → Inbox with tenant details, category, photos, and priority. You're notified via email and push notification.

Triage & Set Priority

Confirm or adjust the tenant's priority level. Emergencies are flagged red and appear at the top. Add internal notes for your team.

Assign a Vendor

Select from your saved vendor list or add a new one. Set the scheduled date/time and the vendor receives a notification with all details.

Create a Work Order

A work order is auto-generated with the request details, vendor assignment, and schedule. Track it from creation to completion.

Communicate with Tenant

Message the tenant with updates: vendor scheduled, ETA, work in progress, or completion. All messages are logged in the request history.

Complete & Close

Once the repair is done, mark the request as "Completed". Add completion notes, final photos, and cost. The tenant is notified and can confirm resolution.

Common Questions

About managing maintenance.

Yes. Go to Maintenance → Vendors to add, edit, and categorize your preferred vendors by trade. You can also find vendors on business.myrentalspot.com.
Yes. Tenants see the vendor name and scheduled date/time. They don't see internal notes or cost estimates unless you choose to share them.
Emergency requests send priority notifications regardless of time. You can set up an emergency vendor contact list with after-hours phone numbers.
If the damage was caused by the tenant, you can add a maintenance charge to their billing from the request detail page. Document with photos for transparency.
