Tenants

Add residents, household members, co-applicants, and guarantors. Manage tenant profiles, contact info, and lease associations from one place.

Add a New Tenant

Walk through adding a resident to a property and unit.

Navigate to Residents

Go to Residents & Leases from the main menu and click "Add Resident". You can also add from a specific property or unit page.

Enter Tenant Information

Fill in full name, email, phone number, and date of birth. The email is used to send the platform invitation.

Assign to Property & Unit

Select the property and unit for this tenant. If the unit already has a primary tenant, choose the relationship type (co-applicant, household member, etc.).

Add Household Members

Optionally add household members (spouse, children, roommates), co-applicants, or a guarantor. Each person type has different access levels.

Create or Attach a Lease

Either create a new lease for this tenant using the Lease Builder, or attach them to an existing lease on the unit.

Send Invitation

Click "Send Invitation". The tenant receives an email to create their My Rental Spot account. Their property, unit, and lease are pre-linked.

Residents Dashboard

View all tenants across your properties with quick access to details and actions.

Understanding Tenant Roles

Each person associated with a unit has a different role and access level.

👤

Primary Tenant

The main leaseholder. Signs the lease, receives all communications, and is the primary contact for the unit. Full portal access.

👥

Co-Applicant

Equally responsible for the lease. Co-signs the lease, can make payments, submit requests, and access documents. Full portal access.

🏠

Household Member

Lives in the unit but is not on the lease (e.g., spouse, child, roommate). Limited portal access — can view info but cannot sign or make payments.

🛡️

Guarantor

Guarantees the lease financially but does not live in the unit. Signs a guarantor addendum. Receives notices only if the tenant defaults.

What You Can Do

  • Edit contact information — Update phone, email, or emergency contacts anytime.
  • Transfer units — Move a tenant from one unit to another within the same property.
  • Add/remove household members — Update who lives in the unit as circumstances change.
  • View payment history — See all rent payments, fees, and balances for the tenant.
  • Send messages and notices — Communicate directly or send formal notices from the profile.
  • Initiate move-out — Start the move-out process including inspection and deposit disposition.

Common Questions

About adding and managing tenants.

Yes. You can add a tenant profile first and create or attach a lease later. The tenant will show as "No Active Lease" until one is assigned.
You can resend the invitation from the resident detail page. The tenant's record and lease still exist — they just won't have portal access until they create their account.
Guarantors have limited access. They cannot make regular payments but can be contacted and invoiced separately if the primary tenant defaults.
From the resident detail page, click "Transfer Unit." Select the new unit, and a new lease will be created. The old lease is terminated with the appropriate move-out process.
